Several of the templates have provisions for quoting multiple quantities. The old method of building a job, saving the job to a quote, changing the quantity and saving it as a second item on the quote still works. This method is still the best if the job needs to be quoted several times with variables other than quantity.
The new method for quoting multiple quantities is much quicker and presents itself on the quote in a very logical format. Each template is still oriented towards a single quantity so for up-sell you will need to start the multiple quantities process. This is easily done by clicking the white button next to the "Copies" field seen below.
When you click the white button, the Multiple Quantities table appears. The default quantities are based on the number in the "Copies" field.
The number from "Copies" is the first quantity. The next quantity is 150% of the first and the last quantity is 200% of the first. At this point you can delete any row, change any row or add as many rows as you need. The TotalPrice column is filled automatically when you exit the form. For example if you want to quote 1000, 1200, 1400 and 1600, you would simply change 1500 to 1200, 2000 to 1400 and add 1600 on the last row. When you enter a number in the last row a new last row will appear. Then you close the form with the X in the corner. NOTE: to get rid of a quantity, delete the row not the field. When you close the form the template will calculate the prices for each of the quantities in the table. Notice that the "Copies" field is now a drop down box:
The "Copies field at this time will contain only the entered quantities. To add another
quantity, or change one of the quantities, you must click the white button to get access to them.
When you click the drop down to select another quantity you will see the total prices for each of the quantities.
By selecting one of the quantities you are able to view the details that make up the total price. For example if you have numbering selected as a Bindery Option, you will see the correct bindery price for each quantity. If you do not wish to save the job with multiple quantities, or if your customer has made a decision and the job needs to go to a work order, you can turn off the multiple quantities process by clicking the black button. The quantity showing when you click the black button is the one that will be stored with the job on the order. The rest of the quantities will not show anywhere. You can recognize a job with multiple quantities in the "Quick View an Order" window. Jobs with multiple quantities will have a "+" (plus) beside the quantity. The other jobs will not have multiple quantities. As you see in the picture below, #6 says 1000+.
Quotes that have multiple quantities will not convert to a work order or an invoice. If you try a message will display alerting you of the need to select one of the quantities. After the customer has decided which quantity to go with, all you do is recall the job, select the correct quantity and save the job back to the quote. You will then be able to convert the quote to a work order or invoice.
